Section two
Privacy Policy
How we collect, use, share, and safeguard data
This policy explains our data handling for website use, contact flows, product communications, and product-related services (including AI-enabled services where offered).
We align with the Privacy Act 1988 (Cth), Australian Privacy Principles, and relevant obligations such as the Notifiable Data Breaches scheme, while also providing additional rights transparency for global users.
Data categories we may collect
Depending on the feature you use, we may collect:
- Identity and contact data (name, email, phone, account identifiers)
- Communications and support records (messages, requests, responses)
- Journal and reflection content you submit
- Mood and wellbeing data you enter (for example, check-ins, mood scores, status notes)
- Relationship context data (labels, check-ins, prompts, goals, related notes)
- Media and attachments (photos and files you upload)
- Weather context data linked to your experience (for example, local weather signals and related timestamps)
- Fitness and activity data where integrations or device permissions are enabled
- Location and time metadata (for example, device region, geolocation where enabled, timestamps)
- Technical and telemetry data (IP address, browser/device data, logs, diagnostics, security events)
Why we use data
We process data for the following purposes:
- Provide requested services, features, and support responses
- Deliver onboarding and service communications
- Operate, secure, debug, and improve service reliability
- Personalize prompts and insights where a feature requires it
- Comply with legal obligations and enforce our terms
- Send marketing communications where permitted and consented
Sensitive data and explicit consent
Relationship and wellbeing content can be sensitive. We require clear consent where processing involves sensitive categories, including intimate journaling context, mood and wellbeing entries, precise location, fitness data, or sensitive media. Consent can be withdrawn, and withdrawal takes effect for future processing.
AI processing notice
Some features may use AI tools to process text, images, weather and location context, fitness/activity context, mood signals, and other metadata you submit or enable for a feature. We apply data minimization and send only what is reasonably necessary for the feature requested. By default, we do not use your content to train foundation models unless you explicitly opt in. AI output can be inaccurate and must not be treated as medical, clinical, crisis, legal, or financial advice.
Children and age requirements
Services are intended for users aged 13 and above. If we learn a child has provided personal data contrary to applicable rules, we will take steps to delete or restrict that data. Parents or guardians may contact us regarding child safety concerns.
Security and breach response
We use reasonable technical and organizational safeguards, including access controls, encryption in transit where appropriate, monitoring, and least-privilege handling. If an eligible data breach occurs, we follow applicable notification obligations, including under Australian law where required.
Retention and deletion
We retain personal data for business and legal purposes such as service operation, security, dispute resolution, and compliance. Retention periods vary by data type. You may request deletion, and we will action requests subject to lawful exceptions and backup processing cycles.
International transfers and subprocessors
We may use providers located in multiple regions. Where data is transferred across borders, we apply reasonable safeguards and contractual controls appropriate to the transfer context.
Marketing and unsubscribe
Where we send commercial electronic messages, we include sender identification and an operational unsubscribe method. You can opt out at any time and we process unsubscribe requests in line with legal requirements.
Your privacy rights
Subject to applicable law, you may request:
- Access to personal information we hold
- Correct inaccurate or incomplete information
- Deletion of personal information, subject to lawful exceptions
- Withdrawal of consent for specific processing
- Opt out of direct marketing
- Information about key third-party processing categories
- Complaint escalation and regulatory contact pathways
Global rights addendum
Users in certain jurisdictions may have additional rights, including objection, restriction, portability, correction, and rights to limit specific uses of sensitive data. We will honor rights where applicable based on your location and governing law.
Policy updates and AI use card gate
We may update this policy as services evolve. Before launching a new AI feature, we require an internal AI use card documenting data inputs, purpose, provider, retention, consent path, and risk tier. Material changes are reflected in the revision summary below.
Privacy questions, access requests, and complaints can be sent directly to hello@theweecompany.com.au.
